Set up a sales copilot Knowledge Base around approved facts, short notes and the terms buyers actually say. For Hintro's Boxy, the current Knowledge Base holds documents, quick notes and Custom Vocabulary that inform live answers. It is a personal resource for an individual rep, not a shared team workspace.

Start with facts you can defend on a call

Gather current product documentation, a dated pricing explanation and approved answers to common buyer questions. Include limits and exclusions alongside capabilities. A product description that says what is not supported is more useful for an honest answer than one containing only selling points.

Label source documents with an owner and a revision date in their content. Remove conflicting versions before uploading. This is document hygiene advice, not a claim that Boxy automatically resolves version conflicts or checks whether a document is current.

Use quick notes for short, approved explanations

A quick note can hold a concise answer that does not need a full document. A practical format is:

  1. The buyer's question.

  2. The approved factual answer.

  3. The limit or exception.

  4. The source and date to check before making a promise.

For example, write the actual onboarding steps and any dependency on the buyer's setup. Do not replace an unknown timeline with a confident estimate. If the answer depends on an unconfirmed requirement, say what needs checking.

Add Custom Vocabulary for names and terms

Use Custom Vocabulary for product names, abbreviations, specialist terms and names that matter to the conversation. Keep the list focused on words you expect to hear. Hintro lists Custom Vocabulary as part of the Knowledge Base; this does not establish a guaranteed recognition rate.

Test one factual question, one objection and one question whose answer is deliberately absent. Check names, numbers, exclusions and the language mix. If the answer adds a promise your source does not support, do not repeat it to a buyer. Fix the source material or confirm the fact first.
